What information do we compile?
If you use any of the email facilities or forms within the site, we will capture your email address, your name and, where relevant, your postal address to enable us to fulfil your request, enquiry or order. If you subscribe to our email newsletter, we capture your email address only and you can choose to unsubscribe at any time. If you ask to be kept informed of our work, we will retain your information so that we may contact you in the future. You can cancel this at any time by contacting us either in writing or by email to dpa@epilepsy.org.uk.
If you join Epilepsy Action, we keep your email address, your name and your postal address on record in order to service your membership.
If you use any of the secure forms within the site, your credit card information is used solely to complete that transaction. All such forms are secure and cannot be accessed by anyone other than the members of staff necessary to complete the transaction.
In addition, information is automatically retrieved on your browsing behaviour through the site. This information does not enable us or any third parties to identify you personally in any way, but does allow us to track usage of the site, browsing behaviour etc. We use this information to further improve the site.
What do we do with the information we collect?
The email address that you provide when you subscribe to our e-newsletter, lets us send you information about important issues and changes to the site via email on a regular basis. Each time you receive a message you will have the option to decline to receive further information from Epilepsy Action.
The email address, name and postal address you provide when you request information to be sent to you will only be used to communicate with you about this information. This information will NOT be shared with anyone or any organisation outside Epilepsy Action unless they are working on our behalf. You can cancel this at any time by contacting us. We do not sell or rent your information to anyone. For further information, see our Data Protection Policy.

Child privacy policy
Information supplied by children
Epilepsy Action will not knowingly capture information from children using our web services, unless a child wishes to use our Helpline facilities, become a member or to ask other questions of our staff. If a child uses the Email Helpline facility or uses any other email facility to contact Epilepsy Action, their information will only be used to deal with their enquiry. If a child under 16 joins Epilepsy Action, we will keep their information in order to service their membership. This complies with the regulations of the UK Data Protection Act.
All information supplied to Epilepsy Action is treated with strict confidentiality and kept within the charity. At no times is the information shared with third parties.
The use of images of children
Epilepsy Action recognises the need to protect the privacy and safety of children under 16. To this end, we try to use photographs of models wherever possible. If we are unable to use models, or a family has expressly requested that their photograph is used, we will ensure that no child can be identified through their photograph or the attached text. All such photographs will only be used with the prior permission of the child's parents or guardians and, in the case of children 13 and over, with the additional permission of the child.
The following rules therefore apply:
- When illustrations of children are required for publications or the website, models will be used wherever possible.
- If circumstances are such that models are not possible or suitable, the full name of the child will not be given and, if possible, the first name will be changed. The need to change the child’s name must be balanced against the need to acknowledge a child’s contribution to Epilepsy Action’s work. No real surnames or any other personal identifier, such as address, will be used under any circumstances.
- Wherever possible, photographs of children other than models should be in a group situation. Close up shots should be avoided if at all possible.
- No photographs of children under 16 will be used without the prior written permission of relevant parents or guardians. In the case of children aged 13 and over, the child’s permission will also be required.
- No photographs of children will be used in which a child is inappropriately dressed.

Accessing Information Held About You
You have a number of rights to access information stored about you by Epilepsy Action. When a request has been made in writing (which includes email to dpa@epilepsy.org.uk) and upon payment of a fee (£10) to Epilepsy Action to cover our costs, you are entitled to be informed regarding any of your personal data stored by Epilepsy Action. On making such a request you will be told:
- What personal data is stored.
- The purposes for which your data is being processed.
- Who has access to your data.
Epilepsy Action does NOT pass any personal data to third parties unless they are working on our behalf. At all times you can ask Epilepsy Action to remove your personal data to ensure that you receive no further contact or information. You can also choose which information you wish to receive. Contact us - either in writing or by email to dpa@epilepsy.org.uk - to change your permission levels or to ask for further information.
NOTE:
Unless Epilepsy Action has received a request in writing, with the prescribed fee, Epilepsy Action is not required to comply with the user’s request. Epilepsy Action is also not required to comply with a request where they have already complied with an identical or similar request by the same individual unless a reasonable interval has elapsed between compliance with the previous request and the making of the current request. In deciding what amounts to a reasonable interval, a number of factors would be considered:
- The nature of the data.
- The purpose for which the data are processed.
- The frequency with which the data is altered.
