Responsible to: Communications Manager

Grade: Officer 1

Hours of work: 20 hours a week (including Thursday and Friday)
Epilepsy Action operates a flex time scheme for all staff

Holiday entitlement: 25 days a year pro rata

Purpose of job

The creative artwork officer supports people with epilepsy by delivering print and digital artwork to a consistent high quality and cost efficiency. The post holder’s work is supervised by the senior design and print officer and is line-managed by the communications manager. Working alongside our other creative artwork officer, the post holder will work on a broad variety of artwork for everything from exhibition materials to health information materials, from adverts to fundraising flags and banners. The post holder will also play a key role in meeting the growing need for artwork across our digital media.

Scope of activities

Epilepsy Action is the leading UK charity working to improve the lives of people living with epilepsy. The charity is member-led and therefore represents people living with epilepsy and all people with an interest in the condition. Our communications work is key to being able to directly deliver our services to over 1.4 million people a year – a figure that is growing all the time. Our materials and website are highly respected for their quality and accessibility.

This role sits within the Communications Department, which is key to the charity achieving its goals. As well as publications, the department is responsible for producing our range of magazines and journals, creating and maintaining our website, developing our digital and social media work, brand management and quality assurance, PR and campaigns, policy and public affairs.

Principal duties and responsibilities

These include the following:

  1. To ensure an effective design print service by:
    1. Supporting the senior design and print officer by producing artwork to the required standard, using agreed design elements within agreed deadlines
    2. Maintaining all agreed templates and standard items to ensure that every item is up-to-date and reflective of current standards, within a regular timetable
    3. Working to agreed briefs, using the provided tools and resources
    4. Assisting the senior design and print officer to complete all artwork to agreed pre-press standards or digital publishing standards
    5. Assisting the Editor to produce artwork for advertising layouts and other supporting items for the magazines and journals
    6. Producing items in Adobe’s Creative Suite, pdf, PowerPoint and other formats as required
    7. Ensuring that all artwork conforms to industry and in-house standards, and other agreed standards and guidelines
    8. Assisting the senior design and print officer to ensure that all work has successfully completed the quality assurance process
    9. Assisting the senior design and print officer in the timely progression of all work by chasing copy, dealing with printers and completing necessary administrative work, including maintaining the publications archive
    10. Supporting the senior design and print officer by maintaining the integrity of the brand at all times and helping colleagues to work within the necessary constraints
    11. Ensuring the effective use of all systems to ensure work is progressed on time and meets the brief
    12. Other publications work as may be required
     
  2.  To provide a quality service to our internal clients by:
    1. Dealing with general correspondence, phone enquiries, attending meetings and other administrative duties as required
    2. Assisting the senior design and print officer in maintaining effective records, back-up data and an archive of all work produced
    3. Maintaining a working knowledge of all relevant software and an understanding of current print production processes
    4. Supporting the post’s supervisor and line manager in the provision of a quality and cost effective service
    5. Playing an active role within the communications team to achieve an integrated, quality service across all media
  3. Other:
    1. Act as an ambassador for Epilepsy Action by representing the association at external events as necessary
    2. Consistently upholding the standards of the organisation by both word and example
    3. Ensure all work meets the association’s quality standards
    4. Ensure all aspects of work comply with health and safety, equality and other legislation and established Epilepsy Action procedures 
    5. Ensure all work is accessible and that the charity’s commitment to diversity and equal opportunities is planned into all work in a relevant and effective manner
    6. Any other duties reasonably required which may from time to time fall within the scope and responsibility of the post
  4. Epilepsy knowledge and advice and information provision.
    Level A (see Policies and Procedures for more detail):
    1. Expected to have or gain a basic understanding of epilepsy
    2. If approached by anyone requiring advice or information about the condition the post holder should not provide advice or information but they should signpost that person to the association’s Advice and Information Services
  5. Organisational understanding:
    1. Expected to have or gain a wide understanding of the association’s services and strategic aims

Personal specification

Experience and qualifications

Essential

  1. At least 12 months’ proven experience of creating artwork to a high standard in a professional environment for print and, ideally, digital use, backed by portfolio evidence
  2. Proven and demonstrable experience of creating finished artwork for print within tight deadlines
  3. Evidence of creating finished artwork for digital use within tight deadlines or evidence of ability to learn
  4. Proven ability to work with a high level of attention to detail working within brand / style guidelines
  5. A basic understanding of litho and other current print production processes and digital publishing requirements

Preferred

  1. Experience of producing materials for a diverse audience with accessibility requirements

Skills and abilities

Essential

  1. Proven skills in the use of Adobe Creative Suite – preferably on Mac OS X
  2. An understanding of current practice in design for print and digital media
  3. Good proven skills in written English and proofreading
  4. Strong organisational skills, a methodical approach and an ability to work effectively to deadline in a busy team environment
  5. Good interpersonal skills with proven ability to liaise directly with clients, including non-technical colleagues

Preferred

  1. Skills in the use of relevant software to create design and content for digital media – for example Adobe XD, Dotmailer or equivalent

  1. A demonstrable understanding of and a commitment to equal opportunities including the needs of different social, cultural and disability groups.
  2. Able to travel - the job will entail occasional travelling, for example to visit a printer or other supplier.
